How we built Daily-Fi, management software for hair salons and barbershops

From bookings in Outlook to our own system for appointments, checkout, stock and staff across several salons.

The challenge: two shops, an Outlook calendar and no control

Daily-Fi was born three years ago at Los Domi Barbershop, a barbershop with two locations and several barbers that kept all its bookings in a Microsoft Outlook calendar. Later on we also built their website.

It worked until it didn’t. Any employee could delete an appointment and nobody knew who had done it or when. There was no way to see the day’s takings without adding them up by hand, and reminding clients of their appointment meant a call or a message that someone had to remember to send.

They wanted software that was simple to use at the front desk but covered everything. They couldn’t find it, so we built it.

What we built

A web app, with nothing to install, that runs on the front desk computer, on a tablet or on a phone:

  • Appointments by professional: each barber has their own column, appointments are moved by dragging and every service has its real duration. Appointments no longer disappear without a trace.

  • Several shops in one account: the owner switches location with one click and sees the activity of both.

  • Checkout and billing: tickets, payments, cash closings and the day’s revenue in real time.

  • Clients: visit history, services and spending for every client.

  • Inventory: product stock with alerts when something runs out.

  • Reports: sales by month, best-selling services and each employee’s performance.

  • Time tracking: the team clocks in with their PIN at the front desk, and the working-hours record required by Spanish law is ready to download.

The favourite feature: WhatsApp reminders

If we had to keep just one feature, it would be this one. When an appointment is booked, the client gets a WhatsApp confirmation and, before the appointment, a reminder. From the message itself they can confirm or cancel with one tap, and the calendar updates on its own. Nobody at the salon has to remember to send reminders, and no-shows go down.

One product for very different salons

Before long, other salons asked us for the same thing. That’s when we made the most important decision of the project: instead of installing a copy of the software for each client, we turned Daily-Fi into a SaaS application, a single cloud platform where each salon logs in with its own account.

The reason is practical. Any improvement or fix reaches every salon on the same day, with nothing to install or update by hand. It works from any device, and the salon pays a monthly fee instead of a large upfront investment.

The challenge was that every business works its own way: one takes payment upfront, another sells gift cards, another needs to track staff hours. We solved it by switching features on or off for each salon. They all share the same core, and each one only sees what it needs.

The result

Today Daily-Fi is a product of its own, with its own website, daily-fi.io, and salons that use it every day. Owners see their revenue instantly, they no longer spend hours on manual tasks like balancing the till or reminding clients, and the team works with a calendar they can trust.

We keep shipping improvements every few weeks, most of them based on what the salons themselves ask for.

What makes us happiest is that Los Domi, the barbershop where it all started, is still working with Daily-Fi three years later. This is what they wrote about us:

I recommend Aldanux’s work 100%. We had spent years looking for payment and booking software that fit our needs and was simple yet complete. They offered us exactly what we needed: Daily-Fi. We have been working with it for years without any problems, and we always turn to them for their excellent work, punctuality, responsibility and good advice. Our business is in the best hands, no doubt.
